  • Contact all participating vendors one month prior to Wedding Day for introduction  and discuss day of activities.
  • Confirm that all needs of the vendors (tables, chairs, linen, power etc.) are provided by the Reception facility.
  • Create & distribute Vendor Resume to all vendors, includes timeline of set up/strike times, contact information for all vendors and all pertinent information for vendors.
  • Create & distribute Bride Resume to participants of your choice (family, friends, etc.) Resume includes contact information for all vendors and itemized description of all details from Rehearsal to Bride/Groom Departure.
  • Contact all participating vendors one week prior to Wedding Day to ensure arrival/departure  times and discuss any last minute requirements
  • Confirm payment schedule with Bride/Groom and distribute final payment to vendors.



  • Conduct Ceremony Rehearsal (one hour)
  • Distribute driving directions from Rehearsal site to Rehearsal Dinner location.
  • Confirm reservations with Rehearsal Dinner location.
  • Collect all items from Bride that require set up such as: place cards, menu cards, photo’s, unity candle or sand ceremony items, flower girl basket, ring bearer pillow, linen, guestbook, champagne flutes, cake cutter & server, wedding favors, ceremony programs, centerpieces, card holder, decor, etc.



  • Set all decor provided by bride (unity candle or sand ceremony, programs, etc.)
  • Ensure Bridal Party is ready on time and in their designated areas prior to ceremony start time.
  • Coordinate entrance for both Groom/Groomsmen and Bride/Bridesmaids.
  • At the close of the ceremony assist with keeping family and bridal party in ceremony location for pictures.
  • If Ceremony location is separate from Reception site, contact Reception location to inform them of guest arrival times.
  • Collect all items from Ceremony that bride provided to be set up.



  • Set all decor provided by bride (linen, place cards, guestbook, photos)
  • If applicable, confirm that someone from Reception site is designated to bridal party upon arrival with beverages and hors d’oeuvres.
  • Coordinate entrance of Bridal Party with DJ/Band.



  • Set all decor provided by bride (wedding favors, centerpieces, champagne flutes, cake cutter & server)
  • Move away decor from Cocktail Reception to Wedding Reception per bride’s request.
  • Discuss food allergies and entree counts with Banquet Captain/CSM.
  • Discuss beverage choice of Bride/Groom with Banquet Captain/CSM
  • Coordinate times of main events (first dance, cake cutting) with Banquet Captain and DJ/Band.
  • Work seamlessly with event staff to orchestrate a smooth running event.



  • Collect all items from Ceremony, Cocktail Reception and
  • Wedding Reception and give to designated family member.
  • Ensure all vendors break down and depart with all materials.
  • Give Bride/Groom gifts and cards prior to leaving or, designated family member.
